Hotel Guest ID Software for Indian Properties

GUEST ID & COMPLIANCE

Hotel Guest ID Software for Indian Properties

Hotel guest ID software collects identity documents from guests before they arrive, files each one against its reservation, flags foreign nationals for C-Form, and exports a register in the format authorities actually ask for, so an inspection is a two-minute export, not a weekend of panic.

Included in every OpenStays property, for homestays, hotels and resorts alike.

The register is not optional. The panic is.

Every accommodation provider in India is expected to keep a record of who stayed, when, and against which identity document, and to produce it when the local police station asks. For foreign guests the bar is higher still: their details must be reported through the C-Form process, typically within twenty-four hours of check-in. None of this is new, and none of it is going away; if anything, verification drives have made the asking more frequent, not less.

What most properties actually have is a drawer of photocopies, a register with gaps from the busy weekends, and ID photos scattered across whichever staff phone happened to be at the desk. The record exists, in seven places, none of them complete. That is the gap hotel guest ID software closes: one system, one record per reservation, always export-ready.

Exact requirements vary by state and property category, our guest ID compliance guide covers the details, and your local authority is the final word.

THE FLOW

From WhatsApp photo to inspection-ready register

COLLECT

After a booking confirms, the system requests IDs in the same WhatsApp chat. Guests send a photo of their Aadhaar, passport, driving licence or voter ID from their sofa, no queue at your desk, no photocopy machine.

FILE

Each document attaches to its reservation, guest name, dates, room, payment and ID together in one record. Foreign passports get flagged automatically so the C-Form deadline never sneaks past a busy check-in day.

EXPORT

When the police station, FRRO or an auditor asks, you export the register for any date range in the format they expect. Two minutes, not two evenings of reconstructing who stayed in Room 3 in August.

SAFER THAN THE STATUS QUO

Think about where guest IDs live today at a typical property: WhatsApp images on the manager’s personal phone, mixed with family photos and forwarded to whoever needs them. Photocopies in an unlocked drawer at reception. A register anyone walking past can read. For a document as sensitive as an Aadhaar card or passport, that is the real privacy risk, and guests know it, which is why some hesitate to share IDs at all.

Dedicated hotel guest ID software changes the posture entirely: documents go into a system with access control instead of a camera roll, they are retrievable by reservation instead of by scrolling, and when staff change, as they do, the records stay with the property, not with someone’s departed phone. Collecting IDs digitally also makes the request feel official, so guests comply more readily and check-in stays a welcome rather than a paperwork counter.

PAPER VS SOFTWARE

The register book had a good century. It’s over.

None of this requires abandoning the desk register if your local station still wants to see one, many properties keep both during the transition. The difference is which one is the source of truth. When the software holds the complete record, the paper register becomes a formality you can reproduce at will, instead of the single fragile copy of your legal compliance.

STATES DIFFER. THE QUESTIONS DON’T.

Built for how India actually checks

Himachal asks differently from Goa; a registered homestay in Kerala faces different paperwork from a hotel in Gurugram; some cities now run online police-reporting portals while the next district over still wants a bound register. The details vary, but every version of the rules reduces to the same three questions: who stayed, against which document, and can you produce the record now.

That is why the software stores structured records rather than a fixed form: whatever format your state, your city portal or your auditor wants, the underlying data is complete and exportable. When rules tighten, and in tourist states they tighten every few seasons. You adjust an export, not your entire front-desk routine.

For group-heavy properties there is one more quiet advantage: registers are expected to cover everyone staying, not just the person who paid. Hotel guest ID software collects every guest’s document in the chat before arrival, so a sixteen-person family group checks in with sixteen IDs already filed, and nobody stands at your desk photographing Aadhaar cards while the kids melt down.

WHO ASKS, AND WHEN

The three moments your register gets tested

The routine police visit. Local stations run verification drives, often after an incident anywhere in the area. They want to see a current, complete register, and the properties that produce one quickly rarely get a second, longer visit.

The foreign guest. C-Form reporting for foreign nationals runs on a clock measured in hours, not days. If the passport details were collected on WhatsApp before arrival and flagged by the system, the filing is data entry. If they are on a phone that went home with the night manager, it is a scramble.

The dispute. A damaged room, an unpaid bill, a guest who was never quite who they said they were. The properties that come out fine are the ones that can show exactly who stayed, when, against which document. Six months later, “it is in the system” beats “it was in someone’s chat history” every time.

THE DEBATES, SETTLED SENSIBLY

Guest ID questions owners actually argue about

“Is a photo of the ID enough, or do I need the original?” For the register, what you need is an accurate record of the document, type, number, name, and the ability to show it later. A clear photo captured at booking does that job better than a blurry photocopy made in a hurry at check-in. Verify the face against the document at arrival, as you would anyway.

“How long should I keep records?” Longer than you think you need to. Disputes and enquiries surface months after a stay, and a register with a hole in it is worse than no defence. Digital storage makes long retention free, where paper made it a cupboard problem, though if your state prescribes a retention period, that is the number to follow.

“Do children need IDs too?” Registers are expected to account for everyone staying. In practice, minors travel on a parent’s documentation more often than not; record the headcount honestly and collect what documents the family carries, school IDs work where they exist.

“The constable asked me to WhatsApp him the register.” This happens more than anyone admits. With structured records you can export exactly the date range asked for and share that, instead of forwarding a chat thread that also contains every private conversation you have had with guests. Share the record, not the raw history.

A simple posture works for all of these: collect consistently, store centrally, share precisely. Hotel guest ID software makes that posture the default instead of a discipline someone has to remember on a busy Saturday.

WHAT IT REPLACES

Retired from your front desk, with honours

  • The photocopy machine ritual, guests queuing at check-in while someone photocopies IDs one by one, on a machine that jams on long weekends.
  • The camera-roll archive, years of guest documents mixed into personal phone galleries, unfindable, unBackedUp, and gone the day the phone or the staff member leaves.
  • The reconstruction evening, the night before an inspection, spent matching payment screenshots to register lines to remember who actually stayed.
  • The C-Form scramble, discovering at 9 pm that today’s foreign check-in needs reporting and their passport photo is on WhatsApp, somewhere, on somebody’s phone.
  • The “please share ID” awkwardness, chasing guests personally for documents, instead of letting an official booking step do the asking.

None of these tasks made you money. All of them made your day longer. That is exactly the work software should take.

GET STARTED

How to set up digital guest ID collection

Setting up hotel guest ID software with OpenStays takes about 15 minutes as part of property onboarding.

Total Time: 15 minutes

Onboard your property

Set up your property on OpenStays with the guided wizard, rooms, rates and policies. Guest ID storage is included from day one.

Choose your collection policy

Decide when IDs are requested, automatically after confirmation on WhatsApp, at check-in via staff upload, or both, and whether every guest or only the lead booker must submit.

Export whenever asked

Run the register export for any date range when police, FRRO or auditors ask. Foreign-guest C-Form flags keep the 24-hour reporting window visible.

GOT QUESTIONS?

Hotel guest ID software, frequently asked questions

Is it legal to store guest IDs digitally?

Keeping guest identity records is an obligation for accommodation providers, and digital storage is how modern hotel systems meet it. Store only the document types you are required to collect, restrict access, and follow your state’s specific rules, our compliance guide covers the common requirements.

How are IDs collected from guests?

After a booking is confirmed, the request goes out on WhatsApp in the same chat as the booking. Guests photograph their document and send it; the software files it against the reservation. Staff can also upload documents collected at the desk.

Which document types are supported?

Aadhaar, passport, driving licence, voter ID and other common identity documents, with the type recorded per guest. Foreign passports are flagged automatically for C-Form.

Does it file the C-Form for me?

It prepares everything, the flag, the passport details, the stay dates, so the FRRO filing becomes quick data entry instead of a scramble. The submission itself remains with the property, as the rules require.

What does the register export look like?

A date-range export in the tabular register format police stations and auditors expect: guest names, document types and numbers, stay dates and rooms. Generate it in minutes whenever asked.

What if a guest refuses to share their ID?

You can require IDs before check-in as house policy, most guests comply readily when the request comes as an official step in the booking flow rather than a personal WhatsApp message. Walk-in collection at the desk remains available as a fallback.

Can every guest’s ID be stored, not just the lead booker’s?

Yes, and for groups this matters, since registers are expected to cover everyone staying, not just whoever paid. Group ID collection happens in the same chat before arrival.

Who at my property can see stored documents?

Access is through the dashboard login, not a shared phone gallery, so documents stay with the property and are retrievable by reservation, even when staff change.

Does this work for homestays and resorts too, or only hotels?

It works identically for homestays, resorts and hotels, the register obligation applies to all accommodation providers. Group ID collection matters most for resorts; C-Form flags matter most where foreign guests stay.

Is guest ID storage an add-on or included?

Included. Guest ID storage ships with every OpenStays property alongside the booking engine and dashboard. It is core infrastructure, not an upsell.

Compliant by default, calm by design.

Guest ID storage is included with every OpenStays property, alongside the direct booking engine. Set up once; stay inspection-ready every day after.
