What a double-booking actually costs you
Say your room is ₹3,500 a night and a double-booking surfaces two days before a guest arrives. You now relocate one of them, often to a nearby property, often at your own expense, because the mistake looks like yours from where the guest is standing. Add the relocation cost, the awkward phone call, and the review that follows (“arrived to find our room given away”), and one missed calendar update can undo weeks of good ones.
Then there is the cost nobody puts a number on: time. Two or three extranets, updated by hand, most nights of the year, call it ten minutes a night if nothing goes wrong. What iCal calendar sync actually does
iCal is not an OpenStays invention. It is an open calendar-sharing format that most booking platforms already speak, the same technology behind sharing a Google Calendar or an Outlook calendar with someone. Every OTA that supports it publishes an export link for each of your listings, and accepts an import link back.
OpenStays generates one export link per room listing in your dashboard. Paste it into the matching import field on every OTA extranet, and paste each OTA’s own export link back into OpenStays. From that point on, the sync runs in the background: no app to check, no extranet to remember.

A guest books your Deluxe Room on Airbnb. Airbnb’s calendar updates, OpenStays reads that update through the sync, and blocks the same dates on the one calendar every other connected OTA is reading from. Nobody touched Booking.com’s extranet. It was never out of date to begin with.

WORTH KNOWING BEFORE YOU CONNECT
What iCal calendar sync does not do
No calendar sync tool, including this one, is a full channel manager. Being upfront about where iCal itself falls short saves you a bad surprise during a busy weekend.
It does not understand quantity
iCal blocks whole dates on a calendar. It cannot tell an OTA “2 of 3 rooms are booked, 1 is still free.” It can only mark a listing open or blocked. If you sell several identical rooms under one pooled listing, one iCal feed is not enough to keep that listing accurate.
Rates and restrictions do not travel with it
iCal carries dates only, not prices, minimum-stay rules or other restrictions. You still set rates independently on each OTA. The OpenStays booking engine stays the source of truth for your direct rates.
It is not instant
OTAs refresh their own iCal feeds on their own schedule, not the second a guest pays. It usually catches up well before your next enquiry, but it is not the same as a same-platform, real-time update.
The practical fix for the inventory limit: if you have several identical rooms, list and sync each physical room on its own, rather than pooling them under a single listing. Every property we have seen do this stays accurate. Properties running large, multi-unit inventory across many OTAs at real scale are also exactly the case where a dedicated channel manager (see the comparison below) starts to earn its monthly fee.

A festival weekend at a 3-cottage homestay in Munnar
Meera runs three cottages, each listed separately so the sync stays accurate, on both Airbnb and Booking.com, alongside her own OpenStays link. Here is a long weekend with iCal calendar sync switched on.
8:10 am. Booking.com. A family books both remaining cottages for the long weekend. The reservation lands in OpenStays through the sync within the OTA’s own refresh window; Airbnb and the OpenStays listing page show zero availability without Meera opening either.
11:40 am. A direct enquiry. A repeat guest messages Meera on WhatsApp asking for the same weekend. She checks the OpenStays dashboard, sees the property is genuinely full, and offers the next open date instead of promising something that no longer exists.
3:15 pm. Airbnb, almost a mistake. A different guest starts a booking for Cottage 1 on Airbnb for the same weekend. Airbnb shows it unavailable. The sync blocked it hours earlier, the moment the Booking.com reservation landed, so the guest is never even shown a room that was already gone.
6:00 pm. A walk-in for next week. A traveller stops by in person and books a cottage for the following Tuesday, paid by UPI at the desk. Meera adds it to OpenStays manually; the same sync pushes the block out to both connected OTAs before she has finished making chai.

How to evaluate any calendar sync, not just ours
Plenty of tools call themselves “calendar sync” and deliver a one-way import that goes stale within a week. Whatever you shortlist, including us, put it through these questions:
- Is the sync two-way or just import? If it only pulls OTA bookings in, your OpenStays calendar stays accurate but the OTAs themselves do not. You are still exposed to a double-booking from that side.
- How often do feeds actually refresh? Every iCal-based tool depends on the OTA’s own refresh schedule, not real time. Ask what that schedule is, in writing, before assuming “sync” means “instant.”
- Does it handle multiple identical rooms? A property-wide or pooled-listing block treats every room as identical. That is fine for a one-room homestay, and a real risk the moment you sell more than one room of the same type under one listing.
- Does it include your own manual and WhatsApp bookings? A sync that only talks to OTAs still leaves a gap for the walk-in your desk added by hand.
- What happens when a feed breaks? OTAs occasionally change or pause their iCal feeds without warning. Ask how you would find out: a dashboard alert, or a guest complaint.
- Is it actually free, or free until a certain size? Some channel managers advertise free sync and then charge per room, per booking, or per OTA connection past a limit. Ask what happens at your actual room count.

Does iCal calendar sync update my rates too?
No. iCal only carries dates: booked or open. Rates, minimum-stay rules and other restrictions are not part of the format, so you still set those independently on each OTA.
What if I have several identical rooms of the same type?
List and sync each physical room separately. iCal can only mark a whole listing open or blocked, so it cannot tell an OTA that 2 of 3 identical rooms are sold while 1 remains free. Pooling several rooms under one listing risks overselling the ones the sync cannot see individually.
Do I still need a separate channel manager?
For most independent hotels, homestays and resorts, no. iCal sync covers the same ground without a separate subscription. Large multi-property groups running many channels, or properties with a lot of pooled, multi-unit inventory, sometimes still prefer a dedicated channel manager.
Does calendar sync cost extra?

How fast does a new booking block on other channels?
As fast as each OTA refreshes its own iCal feed, which is on their schedule, not ours. It is not instant the way a same-platform booking is. That is exactly why your direct OpenStays link is still the fastest, most reliable channel to hand a guest.
What if an OTA’s iCal feed breaks or goes stale?
This can happen on the OTA’s side occasionally. Treat any calendar sync, ours included, as a safety net rather than a replacement for glancing at your dashboard during your busiest weeks.
Can I still add walk-ins and phone bookings?
Yes. Add them manually in OpenStays and they sync out to every connected OTA the same way a WhatsApp or direct booking would.
