A guest who books through MakeMyTrip or Airbnb will often still ask “can I get this on WhatsApp” within the first message, because it is faster to type on, easier to send a location pin or photo through, and does not get buried the way SMS and email do. If your property does not have a clear set of WhatsApp messages ready for each stage of a booking, you are either writing every message from scratch under pressure, or leaving gaps that make the property look disorganised.

This guide is a working library of guest communication templates for WhatsApp, covering homestays, hotels and resorts in India, organised by exactly where a guest is in their journey with you: before they book, once they have booked, in the days before arrival, on check-in day, during the stay, at check-out, and after they leave. It also covers the templates you hope you never need, cancellations, no-shows, refunds, and overbooking, because having the wording ready in a calm moment beats improvising it during a stressful one.

Every template below is written to be copied, pasted into WhatsApp, and lightly edited with your guest’s name and specific details. None of it requires special software. A later section covers how WhatsApp Business API templates work differently from regular WhatsApp messages, since that distinction matters if you ever plan to automate any of this.

Why WhatsApp and Not Email or SMS for Guest Communication

India has among the highest WhatsApp usage rates in the world, and for domestic travellers in particular, WhatsApp is often the primary, sometimes only, messaging app they check regularly. Email gets read late or not at all before a trip. SMS is used for OTPs and bank alerts, not conversation, and guests rarely reply to it. WhatsApp sits in a different mental category: it is where people talk to family, friends, and increasingly, to the businesses they are actively transacting with. A booking confirmation on WhatsApp gets seen within minutes. The same message as an email can sit unread for a day.

WhatsApp also lets you do things email and SMS cannot: share a location pin so a guest can navigate straight to your gate, send a photo of the room or the view, forward a voice note in Hindi or a regional language for a guest who is more comfortable listening than reading English, and hold a genuine back-and-forth conversation instead of a one-way broadcast. For a homestay or small hotel where the owner or manager is personally handling guest relations, this is the channel that matches how the relationship actually works.

Do These Templates Need WhatsApp Business API Approval?

Short answer: almost certainly not, for how most homestays, hotels and resorts actually use them. There are two very different ways to send WhatsApp messages to guests, and confusing them causes a lot of unnecessary worry.

Regular WhatsApp or the Free WhatsApp Business App

If you are messaging guests from your own phone using regular WhatsApp or the free WhatsApp Business app, which is how the overwhelming majority of homestays, hotels and resorts in India operate, every template in this guide can simply be copied, pasted and sent. There is no approval process, no category restriction, and no per-message cost beyond your normal data plan. The WhatsApp Business app additionally lets you save frequently used messages as “Quick Replies” so you can insert a full template with a short keyboard shortcut instead of typing or pasting each time, covered later in this guide.

The WhatsApp Business API for Automated Messages

The rules change only if you use the WhatsApp Business API, the paid, developer-level integration used by larger hotel chains, booking platforms and automation tools including chatbots, to send messages at scale or trigger them automatically. Once a guest has an active conversation with you, you can generally reply with free-form text; to start a new conversation the guest has not initiated, the API requires a pre-approved message template, submitted to Meta in advance and approved under one of three categories: Utility (order and booking-related updates), Marketing (offers and promotions), or Authentication (OTPs and verification codes). Meta has tightened enforcement on category misuse since April 2025, reclassifying templates that are marketing content disguised as utility messages. Meta changes its API pricing and messaging rules from time to time, so treat this as a starting point and check WhatsApp’s own business platform documentation for current terms before relying on it for automation.

For a property just getting started, this distinction mostly matters if you later adopt a booking or automation platform that sends WhatsApp messages on your behalf without a human typing each one, at which point that platform typically handles template submission and approval for you. Until then, every template below works exactly as written on the WhatsApp app already on your phone.

How to Use These Guest Communication Templates

Every template below uses double curly brackets for the parts you fill in yourself, for example {{Guest Name}} or {{Check-in Date}}. Replace the whole placeholder, brackets included, with the actual detail before sending. A short reference list of the placeholders used throughout this guide:

  • {{Guest Name}}: the guest’s first name, exactly as they gave it to you
  • {{Property Name}}: your hotel, resort or homestay’s name
  • {{Check-in Date}} and {{Check-out Date}}: in a format your guests will not misread, DD Month is safer than DD/MM for international guests
  • {{Check-in Time}} and {{Check-out Time}}: your standard times, or the specific time agreed for that guest
  • {{Booking Amount}}, {{Advance Amount}} and {{Balance Amount}}: in rupees, written out in full rather than abbreviated
  • {{Your Name}}: whoever is sending the message, useful once more than one staff member handles WhatsApp

Two habits make a bigger difference than the wording itself. First, personalise the opening line every time, a message that starts with the guest’s name reads as attention, not automation, even when the rest of the message is a template. Second, send a location pin as a separate WhatsApp message rather than a typed address inside the text, since a tappable pin removes an entire category of “we got lost” messages on arrival day.

General Best Practices for Guest WhatsApp Communication

Keep Messages Short and Scannable

A guest reading on a phone screen, often on patchy network at an airport or in transit, will skim rather than read closely. Break a template into short lines rather than one dense paragraph, and lead with the single most important fact, the date, the amount, the deadline, before the supporting detail.

Match the Guest’s Language and Tone, Not Just Yours

A retired couple booking a Kerala homestay and a group of college students booking a Goa guesthouse do not want the same tone of message. The templates in this guide are written in a neutral, warm, professional register that you should feel free to loosen up or formalise based on who is actually booking. If a meaningful share of your guests are more comfortable in Hindi or a regional language than English, keep a translated version of your five or six most-used templates ready, a voice note in the guest’s language for arrival instructions is often more reassuring than a perfectly worded English text.

Respect Quiet Hours

Avoid sending non-urgent messages, payment reminders, upsell offers, review requests, before 9 AM or after 9 PM. Time-sensitive messages, a same-day check-in confirmation or a late-night arrival coordination, are the obvious exception.

One Message, Not Five

Guests notice when a business sends a burst of five short WhatsApp messages instead of one well-composed one. Combine related information into a single message with line breaks rather than firing off separate texts for the date, then the time, then the amount, then the address.

Once a guest agrees to book, the confirmation message is what they will screenshot, forward to a travel companion, and refer back to closer to their trip. It needs to be complete enough to stand alone, since it often becomes the only record the guest keeps of the booking.

A calm, clear, policy-consistent message here protects both the guest relationship and your own position if a dispute ever escalates to an OTA or, in a serious case, needs documentation.
